- The council has continued to require schools to maintain accurate learner records as Grade 10 School-Based Assessments are administered through the CBA portal.
The Kenya National Examinations Council (KNEC) has directed senior schools to correct flagged learner records ahead of the September 30, 2026 deadline for senior school registration and Grade 10 learner onboarding on the Competency-Based Assessment (CBA) portal.
The directive follows a validation exercise that identified duplicate entries, inconsistent examination numbers and other discrepancies in learner records.
Schools with affected records have been instructed to recapture the correct information using the prescribed examination identifiers and official documentation.
The exercise comes as institutions continue with senior school registration and the onboarding of Grade 10 learners under the Competency-Based Education (CBE) system.
The KNEC validation exercise has identified learner records containing issues such as duplicate entries and inconsistent examination identifiers.
Schools have been instructed to correct the records according to the learner’s category.
For Grade 10 learners, schools are required to enter the learner’s Assessment Number in the designated field before saving or updating the record.
For Form 4 learners, schools are required to use the learner’s 2026 KCSE index number and confirm the correct 2026 prefix before saving the information.
For Form 3 learners, schools are required to use the learner’s 2023 KCPE index number as the examination identifier.

KNEC has also advised schools to use official KNEC printouts or slips when capturing Assessment Numbers and KCPE index numbers rather than relying on numbers provided verbally by learners.
The council’s assessment guidelines indicate that the Assessment Number is used to track learners through the basic education cycle.
Schools have also been advised to verify records appearing as invalid against official documentation before recapturing the correct information.
The senior school registration process is being conducted through the KNEC CBA portal. The current portal provides access for registered senior schools using the new centre code issued after registration.
Schools that have not completed registration are required to follow the prescribed KNEC registration process.
Heads of Institutions access the portal using their school credentials, with an OTP sent to the registered telephone number. KNEC’s 2026 Grade 10 SBA instructions similarly require principals to use school credentials and an OTP when accessing the CBA portal.
Institutions are also required to complete the registration requirements and obtain the relevant centre information after successful registration.
Schools without the required examination or assessment code have been directed to seek assistance through the relevant education offices or KNEC support channels.
The CBA portal currently provides separate access for registered senior schools and directs users to KNEC contacts for senior school-related matters.
The data verification is also relevant to Grade 10 assessment administration. KNEC’s 2026 Grade 10 SBA instructions state that projects and practicals are accessed through the CBA portal, while assessment scores are uploaded by schools within the stipulated timelines.
Schools have therefore been required to ensure that learner information is correctly captured and that supporting documentation is available for verification.
The immediate checks for school administrators include:
- Completion of senior school registration.
- Onboarding of all Grade 10 learners.
- Correction of flagged learner records.
- Verification of Assessment Numbers against official KNEC documents.
- Correct capture of applicable KCSE and KCPE index numbers.
- Processing and retention of the required learner assessment documentation.
- Availability of physical or electronic records for verification.

KNEC’s 2026 assessment guidance states that Grade 10 SBA projects and practicals are administered during Term 2, while written tests are administered during Term 3. The council also states that Grade 10 SBA scores account for 15 per cent of the learner’s overall score at the end of Grade 12.
The correction of learner records therefore forms part of the wider administration of assessment information as schools implement the senior school phase of CBE.
