Gov’t revises public entities payroll processing deadlines to improve accountability

The government has revised payroll processing deadlines for public service entities to improve efficiency, accuracy, and accountability.

According to the new deadlines; Ministries, Departments, Agencies, and County Governments must submit monthly payrolls by the 15th of every month, as Payroll closure is set for the 18th of every month.

There will be timely remittance of deductions, including PAYE, NSSF, NHIF/SHI, HELB, and pension contributions, ensures uninterrupted access to healthcare services, pension benefits, and other government obligations.

The new deadlines also says that Payroll systems (HRMIS and IFMIS) will only accept submissions within stipulated deadlines. Late submissions won’t be processed, and Directors of Human Resource Management and Accounting Officers will be held personally responsible.

The government aims to promote efficiency, protect employee benefits, and maintain payroll management integrity across the public service.

The government hence aims to achieve the effective payroll deadline management which involves establishing a Payroll Calendar: Detailing payment cycles, tax due dates, and year-end reporting deadlines.

Cloud-Based Payroll Software: Automating reminders and updates to ensure deadlines are met, regular Audits and Reconciliations: Identifying and addressing errors before they escalate.

Training Payroll by Staff: Ensuring knowledge of current laws and regulations reduces non-compliance risk.
